How to use this checklist: Check off every item that's fully and consistently handled in your practice today. Anything unchecked is a growth opportunity. Most practices score 8–12 the first time. Top performers score 22+.
1. Digital Front Door (5 points)
- My website loads in under 3 seconds on mobile.
- Phone number is visible above-the-fold on every page (tap-to-call enabled).
- "Book Online" or "Request Appointment" exists on every service page.
- My Google Business Profile has 50+ reviews with a 4.6+ rating.
- I rank in the top 3 of Google Maps for at least one core "[my specialty] near me" search in my city.
2. Lead Capture & Response (5 points)
- Every web form sends a notification email within 60 seconds.
- New leads receive a real human callback within 5 business minutes.
- Missed calls trigger an automatic text-back with a booking link.
- I have a written script for the first phone call with a new prospect.
- I track call-to-appointment conversion rate weekly.
3. Patient Experience (5 points)
- New patients receive a confirmation email AND text after booking.
- Reminder texts go out 24h and 1h before every appointment.
- I survey patients within 48 hours of their visit (NPS or rating).
- Happy patients get a one-click link to leave a Google review.
- Unhappy patients reach me (or a manager) before they reach Yelp.
4. Marketing Engine (5 points)
- I publish at least 2 educational posts per month (blog, video, or social).
- I run paid ads (Google or Meta) with a tracked landing page.
- I have an email newsletter sent at least monthly to my patient list.
- My website has schema markup (Service, FAQ, LocalBusiness) installed.
- I know my cost per lead and cost per acquired patient for each channel.
5. Revenue & Retention (5 points)
- I offer at least one self-pay / cash-pay service to reduce insurance dependency.
- I have a documented recall system for annual / follow-up visits.
- My average patient lifetime value (LTV) is calculated and reviewed quarterly.
- I review my no-show rate monthly and have a process to reduce it.
- I know my top 3 referral sources and actively nurture them.
Score Your Practice
22–25 checked: Best-in-class. You're operating like the top 5% — focus on scale.
16–21 checked: Healthy. Plug 2–3 gaps and you'll see 20–30% growth in 90 days.
10–15 checked: Typical. You have a clear playbook now — pick the highest-leverage 5 items and fix them this quarter.
Below 10: Your practice has significant untapped revenue. Don't add more marketing spend until you fix the leaks.
